Move to HubSpot without losing ten years of history

We migrate your contacts, companies, deals, activity, attachments and the relationships between them. Your reps log in on Monday to a system that already knows their accounts.

The problem

The reason most teams stay on a CRM they've outgrown

The switch isn't the risk. A badly planned switch is.

What we do

What we actually move

We audit your existing CRM first, so you know exactly what's coming over and what isn't before anything happens. Then we map every object and field to its HubSpot equivalent, run a test migration into a sandbox so you can check real records with your own eyes, and only then run the live cutover. Relationships between records are preserved, not just the records themselves, which is where most migrations quietly fail.

  • Source system audit and field inventory
  • Object and field mapping document
  • Contacts, companies, deals and tickets
  • Activity history: emails, calls, notes, meetings
  • Attachments and documents
  • Custom objects and custom properties
  • Record associations and relationships
  • Owner and team assignment
  • Deduplication and data cleanup
  • Test migration into a sandbox
  • Live cutover with rollback plan
  • Post-migration validation report

What we'll tell you honestly

Some things don't move cleanly. Old workflow histories, certain proprietary field types, and some integrations have to be rebuilt rather than migrated. You'll know which before you commit, not after.

Configuring the HubSpot portal you're moving into is implementation, and most migrations are scoped alongside one. Reconnecting your ERP or billing system is custom integrations.

Scoped and quoted after we've looked at your source system. Volume matters less than how messy the data is, so we'd rather see it than guess.

Timelines above are typical. Actual duration is confirmed at scoping and may be shorter or longer depending on the complexity of your setup, the state of your data, and how quickly approvals come back.

Nothing goes live until you've seen it work

  1. 1

    Source audit

    week 1

We go through your existing CRM object by object. You get a written inventory of what exists, what's movable, and what needs rebuilding.

  2. 2

    Mapping

    week 1 to 2

Every field mapped to its HubSpot destination in a document you sign off. Anything that has no clean equivalent gets flagged and decided, not guessed.

  3. 3

    Cleanup

    week 2 to 3

Duplicates, dead records and junk fields dealt with before migration rather than carried across. Migrating mess just relocates it.

  4. 4

    Test migration

    week 3 to 4

Full run into a sandbox. You and your team check real records, your own accounts, your own deals, before anything touches production.

  5. 5

    Live cutover

    week 4 to 5

Usually over a weekend. Rollback plan agreed in advance and old system kept read-only, not deleted.

  6. 6

    Validation

    cutover week

Record counts reconciled, relationships spot-checked, a written validation report delivered.

  7. 7

    Post-migration support

    30 days

Included. Whatever surfaces in the first month of real use gets fixed at no extra cost.

Who this is for

Good fit

  • You've decided to move to HubSpot and need the data to survive
  • Your history matters and you can't lose activity or attachments
  • A previous migration attempt stalled or went wrong
  • You're consolidating several systems into one

Not a fit

  • You're still deciding whether to switch, in which case book a call instead of a project
  • Your data is a hundred contacts in a spreadsheet, which you can import yourself
  • You need it done this week with no testing period
  • You want the old CRM kept live and synced permanently rather than migrated

Questions we get asked

Will we lose any data?

Not through the migration. Everything is tested in a sandbox before the live run, record counts are reconciled after, and your old system stays read-only rather than being deleted. What you may not get is a small number of proprietary field types and old workflow histories that have no HubSpot equivalent, and you'll know exactly which of those before you commit.

How long will we be down?

Effectively not at all. The cutover usually runs over a weekend. Reps finish Friday in the old system and start Monday in HubSpot.

Can we run both systems in parallel for a while?

Yes, on Scale and Enterprise scopes. It costs a little more and adds a sync layer, but it's the right call if you're anxious or if leadership needs convincing.

Does activity history come across? Emails, calls, notes?

Yes on Scale and Enterprise. This is the piece most migrations skip and it's the piece reps notice missing on day one.

What about attachments and documents?

Included on Scale and Enterprise. They're genuinely more work than record data, which is why they're not in the Launch scope.

We've got a lot of duplicates. Do you fix that?

Yes, and we do it before the migration rather than after. Moving duplicates into HubSpot just means you're now paying HubSpot to store them.

What happens to our existing integrations?

Anything connected to the old CRM has to be reconnected to HubSpot. Some have native HubSpot equivalents, some need custom integration work. We inventory them during the audit so there are no surprises at cutover.

Do we need the HubSpot portal set up first?

Yes, and most clients scope migration and implementation together. Migrating into an unconfigured portal means importing your data twice.

How much does it cost?

It depends almost entirely on data complexity rather than record volume. We look at your source system and give you a real number, usually within a day of the call.

What if something surfaces a month later?

Thirty days of post-migration support is included. Most issues surface in week one, but not all of them.

Have you migrated from our CRM before?

Very likely. We've moved teams off Salesforce, Pipedrive, Zoho, Dynamics, Monday, Zendesk, Marketo and a long tail of smaller systems. If yours is unusual we'll say so rather than learn on your data.

Find out what's actually movable

Thirty minutes. We'll look at your current CRM, tell you what comes across cleanly, what needs rebuilding, and roughly what it costs. Useful even if you don't go ahead.
