The Problem

Immigration work is deadline work. Every application carries dates that are not negotiable — lodgement windows, health exam expiry, police check validity, bridging visa conditions, and s.56 document requests from the Department that start a clock the moment they land. Miss one and the consequence is not a missed task, it is a setback to the client's application and a difficult conversation that follows.

Those dates lived across a whiteboard, a shared spreadsheet and the agent's personal calendar. Nothing was connected and nothing was automatic. Two health exam expiry dates and one police check validity date were missed, each causing an application setback. Document checklist automation When an application advances to a new stage, the documents required for that stage are generated automatically and sent to the client. A reminder follows every 5 days until every item is received and logged. Outstanding items surface on the dashboard, so case managers can see exactly what is blocking each application without opening it.

Client status updates An update goes out automatically every time an application reaches a new stage, written in plain English rather than Departmental jargon: what happened, what comes next, and what the client needs to do or prepare.
